Working days: are Monday to Saturday, between 9:00 a.m. and 5:00 p.m. Ugandan time.
These Terms and Conditions apply to all package tours offered by the Organizer. They may also apply to individual travel services if stated in writing. Any special or additional conditions must be agreed in writing and will override these Terms and Conditions.
The trip includes only the services clearly described in the Organizer’s quotation and official communication. Information from third-party providers does not form part of the offer. Trip duration is calculated in full days, including the day of arrival and departure.
All offers are non-binding until confirmed. A booking becomes final once the Traveler accepts the offer by email and availability is confirmed.
Obvious errors in pricing or descriptions are not binding. If there is any reason for doubt, the Traveler should inquire.
Preferences or special requests are only guaranteed if confirmed in writing. Medical conditions or special requirements must be disclosed before booking. If the Organizer cannot meet these requirements, the booking may be declined or adjusted in price.
After confirmation, the Organizer will issue a booking confirmation. Bookings are final and cannot be revoked. The person making the booking must be of legal age.
If booking for others, the booking person is responsible for sharing these Terms and for providing accurate information for all Travelers.
Prices are per person unless stated otherwise.
The Organizer will provide information about required travel documents and health requirements, but it is the Traveler’s responsibility to ensure all documents are valid and obtained on time.
Failure to travel due to missing or incorrect documents is the Traveler’s responsibility, and no refund will be given.
The Traveler must provide correct and complete personal and medical information. Failure to do so may result in exclusion from the trip, with cancellation fees applying.
Travelers with reduced mobility, pregnancy, or medical conditions must inform the Organizer as soon as possible.
A deposit of 30 percent of the tour price is required within 14 days of booking, plus full payment for any gorilla or chimpanzee permits.
The remaining balance must be paid no later than six weeks before the trip begins. Bookings made within six weeks of departure must be paid in full immediately.
If payment is late, the Traveler is in default and interest may apply. Travel documents may be withheld until full payment is received. If payment is not made before departure, the Organizer may cancel the booking or deny participation.
Payment can be made by bank transfer, VISA credit card or received in Cash, in any way before the start of your safari. Please note that payments by VISA credit card involve a 3.5% service charge. Any costs of international transactions (or 3.5% service charge in case of credit card payment) are to be full paid by the client.
A Traveler may transfer the trip to another person who meets all trip requirements, subject to supplier conditions. Requests must be made at least seven days before departure.
Any additional costs caused by the transfer are the responsibility of the Traveler. Both parties are jointly responsible for payment.
Changes may be requested but are not guaranteed. If accepted, any additional costs must be paid.
Cancellations must be made in writing. The cancellation date is the date the Organizer receives the notice during working hours.
We regret that we do not refund any expenses, costs or losses incurred as a result of any cancellation or reschedule. Such costs including those to our service providers shall also be directly charged off the client’s prior deposit before issuing a refund
The following percentages of the remaining monies after catering for the above items shall apply for any refunds.
If the number of Travelers in a group booking is reduced, the Organizer may charge standard cancellation fees or the full cost minus any savings.
The Organizer may increase prices due to fuel costs, taxes, fees, or exchange rate changes up to 20 days before departure. If the increase exceeds 8 percent, the Traveler may cancel and receive a refund. If prices decrease, the Traveler is entitled to a refund.
Minor itinerary changes may be made before departure. If major changes are required, the Traveler may accept the change or cancel without penalty and receive a refund.
The Organizer may cancel a trip if minimum numbers are not reached or due to unavoidable and extraordinary circumstances.
In such cases, payments will be refunded, but no additional compensation will be paid. Costs outside the booking, such as visas, vaccinations, or insurance, are not refundable.
The Organizer is responsible for delivering the agreed services. Changes to schedules may occur and will be communicated when possible.
Any problems must be reported immediately so they can be resolved. If a problem cannot be resolved, appropriate compensation or alternatives may be discussed.
The Organizer will assist Travelers in difficulty, including providing information on medical services and alternative arrangements. If the issue is caused by the Traveler, reasonable costs may be charged.
The Organizer is not liable for damage caused by the Traveler, third parties, or unavoidable circumstances. Liability is limited to three times the tour price, except in cases of death or personal injury. Claims must be made within the legal time limits.
Travelers must follow instructions and behave responsibly. Serious misconduct may result in removal from the trip without refund. Travelers are responsible for damage, loss, or theft caused by their actions.
Complaints must be reported immediately during the trip to the guide or Organizer. Emergency contact details will be provided. Unresolved complaints must be submitted in writing within two months after the trip ends.
These Terms and Conditions are governed by Ugandan law. Disputes will be handled by the courts where the Organizer is registered, unless mandatory law requires otherwise.
